The Highland Perthshire Communities Land Trust (HPCLT) respects the privacy of all our supporters and we are committed to keeping their personal information (data) safe.

This Privacy Policy sets out the type of information HPCLT collects (or is supplied with). It tells you how the information is held, who we share it with and how it is used. There are contact details for queries about your personal information. All personal information collected (or supplied) will be treated in accordance with current data protection laws in the UK.

The data controller for all information covered by this Privacy Policy is the Highland Perthshire Communities Land Trust, hereafter referred to as HPCLT.

Who are we?

The Highland Perthshire Communities Land Trust (HPCLT) is a Scottish Charity (Scottish Charity Number SC032801) and a Scottish Guarantee Company (Company Number SC227934).

What personal information do we hold?

HPCLT collects and uses information about members, funders, partners, donors, supporters, trainees and volunteers. We keep records of email addresses, some postal addresses and telephone and mobile phone numbers. For individual donors we hold information about their tax status, where they have indicated that we can apply Gift Aid to their donations.

We do sometimes take photographs of people at Dùn Coillich and the Wee Birks which may be used on our website, on Facebook or in reports. Written permission is always sought when photographs are taken of volunteers, trainees and other visitors. Hard copies of permission forms are stored in a locked filing cabinet.

How do we use your personal information?
We use your personal information in the following ways:
  • to process and respond to enquiries
  • to process income from funders and donors
  • to provide you with information about our activities
  • to approach existing and potential funders regarding funding support
  • for internal record keeping
  • for sending out newsletters and information to members
  • to let you know about events and update you about our work.
Who might we share your information with?
HPCLT will only use your information within the organisation for the purposes for which it was obtained. We will not share any personal information with any third party for marketing purposes.
  • Funders – We will only share your information with the HPCLT honorary treasurer, the HPCLT financial controller and trustees involved in fund-raising.
  • We do not sell personal information to other organisations. We will also comply with legal requests where disclosure is required or permitted by law (for example to government bodies for tax purposes or law enforcement agencies for the prevention and detection of crime, subject to such bodies providing us with a relevant request in writing).
How long do we keep personal information?

We only keep personal information for as long as is necessary for the relevant activity. Information relating to financial matters is kept for a period of 6 years to comply with our constitution and funding obligations.

Is your personal information secure?
  • HPCLT holds personal information digitally on desktops which are protected by secure passwords. Some files are stored in the cloud for sharing only among staff members and trustees.
  • Paper files are stored in the office in locked filing cabinets.
  • Bank details are securely held on the bank website and in a locked filing cabinet.
Children

We will not process any personal information relating to a child (defined as under 13 years by the Data Protection Act) without the express parental/ guardian consent of the child concerned.

How can you update, correct or delete your personal information?

The accuracy of your information is important to HPCLT. We wish to ensure that we can communicate with you in ways that you are happy with.

You are entitled to:
  • know what personal information HPCLT holds about you and how that information is processed
  • ask for your personal information to be corrected where you believe it is inaccurate
  • withdraw your consent to the processing of your personal information by HPCLT and to ask for your personal information to be deleted.

There may be a lawful reason why we need to continue processing your information. If this is the case, we will make it clear and discuss your concerns directly with you before we stop processing your information.
